Executive Personal Assistant

Our client is seeking a resourceful, professional and detail oriented Executive Personal Assistant. This role requires a strategic partnership that will go above and beyond the typical scope of an Executive & Personal Assistant. You will manage day-to-day personal tasks, including scheduling business and personal meetings, managing calendars, taking notes, handling correspondences, travel arrangements, organizing events, and errands among other duties as required.

Business Support:

  • Serve as complementary counterpart to ensure continuous support and crossover between business and personal commitments
  • Maintain sensitive and complex business and personal calendars, requiring coordination with both internal and external executives, customers, and employees
  • Arrange dinners, travel and all accommodations and create comprehensive and detailed itineraries
  • Oversee charities involvement
  • Manage administrative tasks with a high level of detail and organization including, but not limited to taking notes in business meetings
  • Develop and maintain a deep understanding of the organizational structure and business initiatives to allow for maximum support
  • Manage inquiries from employees or external partners making a point to be approachable and service-oriented
  • Ensure preparation for all meetings and events, and assist with preparation of presentation materials and/or written communication, as requested
  • Attend company events, as required
  • Demonstrate composure and flexibility, integrity, and confidentiality always
  • Responsible for two-way flow of information between household and business
  • Coordinate and assist with organizing and answering emails
  • Assist on a variety of special company projects, meetings, and events as needed
  • This position does require some evenings and weekend work
  • Other duties as assigned

Personal Support:

  • Assist with personal errands including overseeing personal residence and scheduling appointments as needed
  • Screen mail, delivery, and correspondence, managing responses where appropriate
  • Manage personal data and filing
  • Coordinate pet care for one dog to and from boarding facility/vet, assist in training programs, and care & feeding, as requested
  • Attend social events
  • Identify opportunities for efficiency and effectiveness, proactively addressing issues as they arise
  • Other tasks, as requested

JOB REQUIREMENTS

  • 3+ years of experience as a Personal Assistant at an Executive Level is required
  • Experience in a business setting or in a law firm or (applicable) post-secondary education will be preferred
  • High level of organizational skills
  • Ability to interact and present themselves in a professional manner
  • Acute calendaring and meeting logistics handling skills
  • Proficient with Microsoft Office, mainly Word and Excel, and social media
  • Available and willing to travel; must have a valid passport
  • Must have a valid driver’s license
  • Strong attention to detail, customer service skills, ability to multitask and work efficiently with tight timelines

Monday to Friday; some evenings and weekends.
Salary
$65,000 - $80,000
